Hunter’s 2025 research found decision-makers are largely indifferent to which day or hour a cold email arrives.1 So don’t obsess over send times. Obsess over this: when an interested buyer replies at 10 am in New York, can you answer within 30 minutes of seeing it?
When do my buyers’ mornings land in IST?
| Buyer in | Their 9–11 am, summer | Their 9–11 am, winter | For you |
|---|---|---|---|
| UK | 13:30–15:30 IST | 14:30–16:30 IST | Your afternoon |
| Germany, most of the EU | 12:30–14:30 IST | 13:30–15:30 IST | Your lunchtime |
| UAE | 10:30–12:30 IST | 10:30–12:30 IST | Your morning |
| Singapore | 06:30–08:30 IST | 06:30–08:30 IST | Before you start |
| US East | 18:30–20:30 IST | 19:30–21:30 IST | Your evening |
| US West | 21:30–23:30 IST | 22:30–00:30 IST | Late night |
India doesn’t change its clocks. The UK and EU move to summer time from the last Sunday of March to the last Sunday of October; the US from the second Sunday of March to the first Sunday of November. The UAE and Singapore don’t change.
How do I cover the reply gap?
- Start with UK and EU buyers. Same-day replies are easy, and you learn your emails-per-meeting number cheaply before adding the US.
- Hold an evening reply window for US campaigns, say 19:00–22:00 IST, plus a first-thing check each morning for anything that came in overnight.
- Pre-write your replies. Keep approved answers and a booking link ready, so a 2 am “yes” gets a good answer by 8 am.
- Use a booking link with automatic time-zone conversion, and always state times in the buyer’s zone.
How should I price and present myself?
- Price in the buyer’s currency, in dollars, pounds or euros.
- Show a US or UK reference client early if you have one; it answers the unspoken “can they work with us?” question.
- Sign with a real name and a real business address. CAN-SPAM requires a valid postal address for US recipients;2 an Indian address is fine.
Which country’s law applies?
The recipient’s. US buyers bring CAN-SPAM, UK buyers PECR and UK GDPR, German and Austrian buyers a consent requirement, and so on; see cold email law by country. If you email people in India, the DPDP Act applies, with most obligations from 13 May 20273 and no legitimate-interest basis.4
Common questions
What time should I send cold emails from India to the US?
Send timing matters less than you’d think: Hunter found decision-makers are largely indifferent to the day or hour a cold email arrives. What matters is being awake when they reply. A US East Coast morning (9–11 am) is 18:30–20:30 IST in summer and 19:30–21:30 IST in winter.
Does Indian law apply when I cold-email US clients?
For the email itself, the recipient’s law applies: CAN-SPAM for US recipients, PECR and UK GDPR for UK recipients, and so on. India’s DPDP Act matters when you email people in India, with most of its Rules applying from 13 May 2027.
Should I price in rupees or dollars for US clients?
In the buyer’s currency. A US buyer comparing quotes thinks in dollars; a price in rupees adds friction and a currency question to every reply.
